Facility Rental Request

Welcome to Grace Church’s facility rental request site. After reading the following overview, please fill out the Grace Facility Rental Request (GFR) that is linked below. Once we receive your request, you will be contacted by one of our event coordinators.

The facilities and equipment of Grace Church are available to covenant members, other Christian ministries, and community services that are determined to align with the Core Values of Grace Church. Due to limited space and high demand, we do not permit other individuals or organizations to rent our facilities. The following guidelines for the rental and subsequent use of said facilities are in no way exhaustive. They serve as a first step, providing the necessary information needed to complete the GFR form.

Once the GFR is submitted:

  1. We will first determine if your requested date and time are available for the facilities you wish to use.
  2. A Grace event coordinator will reach out to confirm or deny the availability requested and schedule a meeting to discuss details of the event further, if appropriate.
  3. If the GFR is approved, lessees of the facilities are required to sign a Release of Indemnity Agreement and the Facility Rental and Usage Agreement. Both of these forms are provided at the meeting following the approval of availability.
  4. After the event, you will receive an invoice with instructions to pay.

Before you submit your request, please review the following:

  1. The availability of any Grace Church facilities is subject to scheduled worship services and ministry events.
  2. To ensure that there is adequate space for church activities, Grace Church does not approve requests for external groups any earlier than four months before the requested date.
  3. We do recommend you submit the GRF at least three weeks before the event.

  1. There is a minimum charge that provides access to the facility for four hours. If the event is longer than four hours; or if it requires extensive setup, teardown, or cleaning; your Grace event coordinator will communicate additional fees.
  2. Capacity is based on rows of chairs, and using round or square tables will change the capacity. Your capacity needs can be discussed with the Grace event coordinator.
  3. If you need to use audio/visual equipment, it must be run by qualified Grace Church A/V staff, and there is a $35 per hour rate (half-hour increments after the first hour). All A/V must be set-up and operated by a Grace Church trained A/V technician.
  4. Groups may be requested to provide insurance with Grace Church or sign waivers.

FAQS

What if my event is shorter than four hours? Do I have to pay the entire fee?

Even if your event is less than four hours, you will still be charged for four hours and will have to pay the entire fee.

May I bring my own audio/visual equipment?

Generally, no. Special exceptions may be discussed with the event coordinator.

Does Grace Church provide any equipment other than tables, chairs, and audio/visual? (tablecloths, coffee urns, etc.)

No. The renter is responsible for all other equipment.

Does Grace have enough tables and chairs available for my event?

Grace Church can provide a limited number of tables and chairs. Discuss with your event coordinator if you need to rent additional tables/chairs from an outside source.
